How do I make an appointment?

Appointments can be booked online through our website. If you are an international patient and cannot find a suitable time, email us at hello@gutcode.co, and we’ll coordinate a time that works.


What can I expect in an initial consultation?

The initial consultation involves a comprehensive assessment of your medical history, dietary habits, lifestyle, and health goals. Your dietitian will create a tailored plan based on your unique needs.


Do I need a referral?

No, a referral is not necessary to book an appointment. However, a referral is required if you wish to claim a Medicare rebate under a Chronic Care Management Plan (CCMP).


Is a dietitian consultation claimable on health insurance or through Medicare?

Yes, many private health insurers offer rebates for dietitian consultations, depending on your level of cover, please refer to your private health provider to confirm your policy. 

Medicare rebates for a portion of your consultation fee are available for patients referred under a Chronic Care Management Plan (CCMP) through your GP. Your GP will determine your eligibility for the CCMP which must be completed by the medical practice prior to your booking. We will provide you with the correct receipt so that you can submit a claim with Medicare. Gut Code does not bulk bill consultations and therefore out-of-pocket costs will apply.
Please note: Patients are responsible for claiming their own private health and Medicare rebates. GutCode does not process claims on your behalf.


What if I don’t receive the booking confirmation?

If you don’t receive your booking confirmation email, check your spam folder and the bookings section of your client portal. If you require further assistance you can contact us at hello@gutcode.co.


What is the process regarding payment for the consultation?
Payment is required after your consultation. Accepted payment methods include credit/debit cards (we accept American Express) and Apple/Google Pay
For video/telehealth, an invoice will be sent via email and your client portal for settlement.

 


What is your cancellation policy?

Appointments can be rescheduled or canceled up to 48 hours in advance without penalty. Cancellations within 48 hours are charged 50% of the appointment fee, and same-day cancellations or no-shows incur the full fee. For exceptional circumstances, email us at hello@gutcode.co.


What if I am running late or need to cancel my appointment?

If you’re running late, please contact us. We’ll do our best to accommodate, but the session may need to be shortened. For cancellations, follow our cancellation policy.


Do I need to prepare anything for my initial consultation?

You will receive an email upon booking your initial consultation, that will request you complete a New Client Form, we ask you fill this out in advance of your appointment. Uploading any relevant medical or investigative reports and test results to your client portal is also helpful. If applicable, please upload your referral to the client portal or send via email to hello@gutcode.co


Do I need to provide a food diary?

No, you do not need to provide a food diary unless your dietitian specifically requests for you to do so.


How soon do I have access to my treatment plan from the dietitian?

Treatment plans will be available to you within your GutCode client portal within 2-4 business days. You’ll be notified by email once this plan becomes available to you. All resources from your dietitian, including treatment plans, guides, and notes, are stored in the “Protocols” section of the portal.


Do you offer testing (such as Gut Microbiome or SIBO testing)?

Yes, your dietitian has access to order selected diagnostic tests, including gut microbiome analysis and breath testing for SIBO / IMO. During your consultation, your dietitian will discuss which tests, if any, may be appropriate for you.


Do you offer face-to-face appointments?

Yes. Aside from Telehealth (phone or video) consultations, we also offer selected in-person appointments. Telehealth appointments are conducted through the GutCode Client Portal and can be accessed via your computer, phone, or tablet.

We also offer in-person consultations at Bluff Road Medical, Victorian Gastroenterology Group, and Gastroenterology Specialist Care. Availability of face-to-face appointments may depend on practitioner schedules and location.

 


How do I use the GutCode Client Portal for video consultations?

Video consultations are conducted through the secure GutCode Client Portal. You can access the portal on your phone, tablet, or PC. For further instructions, refer to our GutCode Client Portal FAQs or contact us if you have questions.


Do you accept DVA or NDIS clients?

No, we are not currently registered for Department of Veterans’ Affairs (DVA) or National Disability Insurance Scheme (NDIS) clients at this time.


Can you help me with weight loss?

GutCode focuses exclusively on treating gastrointestinal disorders. We do not offer weight management services, or treatments for metabolic conditions. If weight issues are directly related to a gut health problem, we can provide guidance as part of the treatment plan for that condition. For support with other nutrition-related health concerns, we have an extensive network of healthcare professionals that we may be able to connect you with.


Will I get a meal plan?

Your consultation typically includes dietary advice with meal and snack recommendations. Fully personalised meal plans are available at an additional cost if applicable to your treatment and will be specified by your dietitian if required.


Do you communicate with my medical practitioner and/or referrer? 

In managing your care, it is routine practice for your dietitian to correspond with your referring practitioner and/or General Practitioner. If you do not wish for your dietitian to communicate back to your referring doctor or GP, please advise us prior to your appointment.
